Family Vacations

Double Diamond Holidays Canada is a division of HBB Holidays by Barb Inc., BC reg. # 2964-3. HBB Holidays by Barb is fully licensed under the provisions of the Registrar of Travel Services. All moneys paid to Double Diamond Holidays Canada is held in a Trust account until paid to the individual travel suppliers.

During the following terms and conditions, "DDHC" (Double Diamond Holidays Canada) hereinafter refers to HBB Holidays by Barb carrying on business as Double Diamond Holidays Canada.

Independent travel
As a client of DDHC you will be traveling independently, using your itinerary as a guide to the many attractions along your route. DDHC has driven and researched the routes confirming driving distance and options for en route stops and activities. Time restraints may cause you to select sites that are most interesting to you as it may be difficult in your allotted time to see all sites and options.

Deposit
The deposit is $300 on most holidays. Some companies require a higher deposit, which will be specified with the prices. Many of the holidays allow only a limited number of participants and any cancellation by participants can greatly influence the outcome of the holiday; therefore, we require that all deposits are non-refundable. We recommend cancellation insurance be purchased. We accept direct deposit, certified cheque, money orders, bank draft, Mastercard, and Visa for payment.

Balance due
The balance of your holiday is due and must be received in our office 60 days prior to departure by means of direct deposit, certified cheque, money order, bank draft, Visa or Mastercard. If balance is not received 60 days prior, we reserve the right to treat the booking as canceled. All tour documents will be sent on receipt of final payment. Bookings made within 60 days must be paid in full upon confirmation of booking.

Flights
Any air flight arrangements and payment and conditions of air travel will be governed by the requirements of the air carrier. Our responsibility in respect of air travel is similarly limited to the airlines conditions of travel. DDHC is not in a position to specify the type of aircraft to be used by any airline.

Rental Cars
When a rental vehicle is included in the itinerary, it refers to a mid-size vehicle. With triple/quad occupancy, a full-size vehicle will be included. Should a car be returned late, an additional rental charge at the normal posted rates in effect at that time will be charged. If the car is not returned with a full tank, a refuelling service will be charged. All drivers must possess a valid driver's permit and a major credit card. If the driver's permit is in another language other than English or French, an International Driver's license is required as well. Drivers should be a minimum age of 25yrs. Please request information for drivers between 19 and 25 years of age.

Taxes and Personal Damage Waiver (PDW) may be pre-purchased with your rental vehicle. The PDW is a waiver of the Renters financial responsibility or lowers the deductible for loss or damage to the rental vehicle, provided the terms and conditions of the rental agreement are not violated. Please note: the PDW will not cover damage occurring on an unpaved road. The personal damage waiver is highly recommended to be purchased in addition to the rental charge.

Accommodation
Standard accommodations are based on 3 star hotels. Superior accommodations are based on 4-5 star hotels. Please request information on the hotels used in the different tour itineraries. Package prices are based on a standard room unless otherwise stated. Upgrades available upon request and dependent on availability. The hotel makes all room assignments. DDHC has no control over which room you will receive. Rooms for twin/double occupancy may be assigned two twin beds, a double bed, a queen bed, or two double beds. Triple/quad occupancy may involve the use of a pullout couch or rollaway cot.

Please note that many Canadian Hotels are designated non-smoking. Please state at time of booking if a smoking room is preferred. We reserve the right to substitute hotel accommodations of similar grade in the event that the specified hotel is full. I n tours offering tenting or tent cabins; dorm style accommodations may be involved. Single/double/triple/quad occupancy may be requested, but cannot be guaranteed.

Meals
Meals are only included when specified in the itineraries. If any meals are included, please notify us of any dietary restrictions at time of booking. Tipping is not included in the package price and a general 15% tipping guide is recommended.

Special Requests
Should you have a specific request, you must ensure it is clearly noted in the remarks section of the electronic booking form at the time of booking. We will endeavour to pass all such requests on to the relevant suppliers, however we cannot guarantee that any special requests will be met and failure to do so will not be a breach of contract on our part.

Rates
All prices quoted are per person and shown in Canadian Dollars. Holiday prices include all travel, accommodations, meals and tour features as specified in the holiday description. It should be clearly understood that the rates quoted include our administration, planning and operational costs. All rates quoted are subject to change without notice. All rates are guaranteed once booking has been confirmed. All rates are subject to GST (Goods and Service Tax). Non-Canadians may wish to contact Revenue Canada for partial rebate of the GST.

Cancellation charges
Our office must receive notification of cancellation in writing. Charges will be based on the date which cancellation notice is received. We highly recommend cancellation insurance, which may be purchased at time of booking.
- Charges for land portion are as follows: Any cancellation more than 60 days prior to commencement of tour will be refunded less the non-refundable deposit. Any cancellation less than 60 days prior to commencement of tour is non-refundable.
- Cancellation on any air portions: Are subject to the rules of the airline carriers. Most discounted airfares are non-refundable and non-changeable once payment is applied. At the time of booking the rules and restrictions of the airline will be outlined.
- No refund will be given for any tours, meals, accommodation, sightseeing, transfers, or any other services included in the tour cost, which for reason of illness, strikes, alteration by client or otherwise were not utilized.
In the event that a supplier has cancelled a booking, an alternative arrangement will be made. If the alternate arrangement has a cost differential from the original booking, moneys may be refunded or additional moneys collected as needed. If the alternate arrangement is not acceptable, moneys for the cancelled portion will be refunded, but DDHC is not responsible for other costs incurred.

Alterations of land bookings
A $100 per person administration fee applies when making an amendment, transferring between tours, or changes to the departure date of the journey. Additional supplier amendment fees may also apply.

Alterations to air booking:
Will be governed by the rules and restriction of the air carrier.

Insurance
Travel insurance is strongly recommended. There are no exceptions to the cancellations penalties. Please indicate on the booking form that you would like insurance included and which type of policy would work best for you.

Right of Refusal
We reserve the right to refuse a booking. Some adventure activities require a certain level of fitness and participation. Any pre-existing ailment or illness may disqualify a person from an activity. The group leader reserves the right to disqualify a person from an activity if he deems that person unfit to continue. To avoid disappointment, please notify us ahead of time of any illness, whether physical or mental, that may interfere with your enjoyment of an activity. Most activities may be substituted to suit the individual. A statement of medical condition may be required for some activities and will be stated at time of booking.

Acceptance of risk
The client acknowledges that the nature of the tours may be adventurous and that such holidays may involve a significant amount of personal risk. A liability waiver must be signed and returned to DDHC with the deposit. Any neglect to do so may result in the cancellation of the reservation. In addition, many adventure tour providers may have their own waiver, which must also be signed prior to engaging in the activity.

Company Policies:
DDHC has made arrangements for the tour services described in all itineraries. The carriers providing transportation services, hotels and other tour services are independent contractors and are not the agents, employees or servant of, or joint ventures with DDHC. All vouchers or travel documents for tour services issued by DDHC are subject to the terms and conditions specified by the suppliers and to the laws of the countries in which the services are supplied.

No person other than a representative of DDHC authorized by a document in writing may vary, add or waive any of the terms and conditions set forth in the preceding provisions.
